Community Impact AmeriCorps VISTA

The VISTA member will work at United Way of Eastern Maine supporting CA$H Maine to build the capacity of CA$H Maine through coordination, collaboration, utilization of technology and serve as a training lead. This VISTA will work to improve the economic well-being and security of economically disadvantaged citizens living in Eastern Maine by supporting and expanding the work of EMCA$H to expand outreach and service delivery of free tax preparation and asset coaching throughout our service area; Penobscot, Piscataquis, Hancock, Washington and Waldo. The VISTA will explore strategies for service delivery in rural settings and develop a system of volunteer management and training to expand the reach of existing and future EMCA$H efforts. The VISTA will support UWEM through other initiatives focused on the economic stability and needs of the Eastern Maine community.

Accounting Clerk (Full Time, Non-Exempt)

REPORTS TO: Chief Operating & Experience Officer

GENERAL SUMMARY: The role of the Accounting Clerk is to provide support for accounting for the organization.  Responsibilities include maintaining financial reports, records, and general ledgers; performing general bookkeeping, including billing activities, such as accounts payable and accounts receivable. Supporting annual audit and United Way Worldwide reporting requirements. This position also supports human resource activities including benefits enrollment/changes and payroll 

 A focus on creativity, team work and problem-solving is expected to support the creation and implementation of plans to help the United Way of Eastern Maine (UWEM) be successful in achieving its mission. A successful Accounting Clerk will demonstrate a strong team orientation and a commitment to integrity, efficiency, innovation and continuous improvement. 

 FINANCE AND DATA MANAGEMENT 

  • Accounts Payable processing vendor invoices 
  • Processing designation and allocation payments to agencies 
  • Preparing checks/electronic ACH to vendors  
  • Focus on ensuring accurate coding and entry, elimination of any duplicate payments, ensuring no late fees or interest charges incurred 
  • Accounts Receivable Processing and posting of receivables including annual campaign and grants 
  • Financial Reporting- Supporting CFO in timely preparation of month end financial statements and other financial reporting requirements as needed, including   
  • Supporting monthly reconciliation of campaign balances, bank statements, all cash accounts, general ledger, sub ledgers (including accounts receivable, accrued payables and prepaid expenses) 
  • Allocating G&A Pool 
  • Providing support to the year end audit procedures including reconciliations of general ledger accounts and compiling related supporting schedules. 
  • Generating year-end tax receipts and 1099s 
  • Providing support to the preparation of annual form 990 
  • Assisting with audit preparation, including performing reconciliation procedures and compiling schedules as requested, and other projects as needed 
  • QB/Andar reconciliation liaison 
  • Support grant reporting requirements as needed 
  • Audit data entry of campaign packets 
  • Review, follow through, and collection of outstanding pledges 
  • Processing, posting receipts 
  • Benefits enrollment and administration 
  • Administering payroll and tracking timesheets; generating payroll reports as necessary 
  • Leave Tracking 
  • Processing expense reports 
  • Supports the Chief Operating & Experience Officer in other HR needs as they arise. 

ORGANIZATIONAL 

  • Manage organizational document retention and destruction policy ensuring regular review and maintenance of documents both onsite and in storage; ensuring proper disposal of documents when appropriate. 
  • Review systems for operational efficiencies and continuous improvement, including automation 
  • Supporting all reporting requirements (i.e. United Way Worldwide, grant reporting, DB1 and DB2 etc.)

  • Supports the UWEM organization, its goal and mission to improve the lives of people in Eastern Maine by mobilizing the caring power of people and communities. 
  • Clearly articulates UWEM’s mission and products to all stakeholders and potential stakeholders. 
  • Serves as an active, committed and visible member of the local community focused on developing intentional relationships that support the work of UWEM and our partners. 
  • Actively participates in projects, initiatives, special events, cross-functional teams or workgroups that support the work of the entire organization. 
  • Provides logistical support of annual campaign efforts which may include administrative and clerical needs, managing divisions, supporting projections, accurate and timely communication logs, CEO calls, major gift visits, special events etc 
  • Provides information and data that supports the development of content (ex. grant applications, marketing materials, website, social media outreach etc.) as requested. 
  • Supports Board Level committee meetings and reporting as assigned. 
  • Oversees interns and volunteers specific to the work at hand when necessary. 
  • Effectively utilizes technology and software including the customer relationship management database (ANDAR). 
  • Networks with other United Way agencies and United Way Worldwide to research, emulate and promote best practices. 
  • Demonstrates commitment to UWEM’s values as well as continuous improvement and professional development. 
  • Work on special projects and assignments as needed. 

QUALIFICATIONS 

  • Strong bookkeeping skills and accuracy with data entry 
  • Must be detail oriented; work well with deadlines and results oriented 
  • Excellent time management skills and the ability to prioritize work  
  • Excellent written and oral communication skills  
  • Experience with QuickBooks  
  • Proficient in MS Word and Excel 
  • Ability to maintain a high degree of confidentiality 
  • Ability to work collaboratively 
  • Willingness to assist in whatever ways that are needed for the organization 
  • Strong organizational skills with the ability to manage multiple projects in a fast paced environment

Community Engagement Manager (Full Time, Non-Exempt)

REPORTS TO: Chief Development Officer 

GENERAL SUMMARY: The Community Engagement Manager is charged with developing relationships with various community sectors to engage them in resource development and volunteerism to support bold community change efforts throughout United Way of Eastern Maine’s (UWEM) five-county service area. This individual works collaboratively with UWEM staff, volunteers, and community partners to develop, execute, and evaluate strategies that advance UWEM’s resource development and volunteerism.  In execution of duties, this position requires an extensive amount of time making presentations, coordinating projects and working closely with stakeholders throughout the community.

A focus on creativity, team work and problem-solving is expected to support the creation and implementation of plans to help UWEM be successful in achieving its mission. A successful Community Engagement Manager will demonstrate a strong team orientation and a commitment to integrity, efficiency, innovation and continuous improvement.

RESOURCE DEVELOPMENT 

  • Provides leadership in developing and implementing strategies to enhance logistics and organization of activities related to the annual campaign and other Resource Development efforts. 
  • Provides support in implementing all aspects of UWEM’s annual resource development activities including; annual workplace campaign, residential campaign (retirees and individuals), small business outreach, Leaders’ Circle, endowment and planned giving and special events.
  • Manages Employee Campaign Manager program to ensure successful workplace campaigns including:
    • Outreach and communication
    • Training and technical assistance
    • Ongoing support
  • Recruits, trains and supervises volunteers to conduct outreach supporting all resource development activities; most notably Loaned Executives (LE) and campaign volunteers
  • Develops and manages annual training of United Way and Agency Speakers.
  • Works to articulate and deliver UWEM’s mission and products to corporate and community leaders, as well as current and potential leadership donors.
  • Develops and fosters relationships with corporations, community partners, donors and key stakeholders to attract and sustain support for UWEM and our work.
  • Supports the donor acknowledgement and thank you process.
  • Conducts comprehensive research on corporate and individual accounts and prospects to support tailored messaging and asks
  • Records data in CRM to maintain knowledge about corporations, partners and key donors and their interests.
  • Supports the planning and execution of committee and donor stakeholder meetings as needed.

COMMUNITY INITIATIVES & VOLUNTEERISM

  • Provides leadership in connecting donors and community members to the mission of UWEM through community initiatives. Recruits, inspires, motivates staff and volunteers to support UWEM community initiatives.
  • Develops and supports strategic volunteer opportunities for corporate partners and donors to engage with the mission of UWEM.
  • Designs and implements annual engagement calendar of events for donors and community members to connect with the mission of UWEM.
  • Lead events associated with the engagement calendar throughout the year (ex. Day of Caring, various drives and other activities)
  • Provides leadership and support for UWEM’s internal volunteer program, including but not limited to: 
    • Volunteer recruitment and retention efforts
    • Design and management of UWEM’s Internship program and supervision of interns when appropriate;  
    • Design the internal volunteer program to identify opportunities to utilize skilled volunteers, draft position descriptions, recruit retain and train volunteers. (ex. IT, mailings, processing pledge packets etc.); 
    • Managing volunteer inquiries 
  • Supports partner agencies and other community organizations volunteer recruitment efforts through management of VolunteerME online matching database. Serves as a resource to support non profits in their volunteer management efforts. 
  • Develops strong working relationships with partner agencies and community-based organizations to enhance knowledge of their needs and identify opportunities to assist corporations and community members with meeting those needs 
  • Seeks out and responds to strategic opportunities that enhance the donor experience.
  • Represents UWEM in community meetings and community collaborations as needed; supporting coordination of such efforts as needed
  • Supports UWEM data collection  for initiatives and engagement activities
  • Manages special projects, as assigned.

QUALIFICATIONS

  • Bachelor’s degree or three years of related experience in fundraising, health and human services or equivalent combination of education and experience with progressively increasing responsibility 
  • Strong organization and information management skills 
  • Strong communication (verbal and written) and interpersonal skills; public speaking.
  • Practical understanding of research and statistics and the ability to articulate results.
  • Ability to analyze problems, develop and implement creative solutions.
  • Advanced computer abilities; Microsoft 365, CRM database etc.
  • Ability to plan and manage multiple tasks.
  • Ability to manage multiple priorities in a shifting environment
  • Ability to train and lead individuals and teams; volunteer management experience preferred
  • Knowledge of the community and region preferred.
  • Knowledge of United Way preferred but not required
  • Possess and maintain a valid driver’s license and insurance policy.
