JOB TITLE:  Accounting Intern   

REPORTS TO: Accounting Clerk & Contract CFO 

TIME FRAME: January – May. 10-20 hours per week. Schedule is flexible.

KEY RESPONSIBILITIES:  

  • Accounts Payable bill posting. 
  • Issuing checks, and/or assembling vendor bills to checks for signature. 
  • Processing and importing batch AP vendor transactions (Designations/Allocations) into QuickBooks 
  • Bank reconciliation or electronic bank feeds reconciliation. 
  • Setup excel spreadsheets (as needed) and if the intern has exceptional excel skills refining some of our existing tools. 
  • Filing and opening mail. 
  • Posting adjusting journal entries. 
  • Understanding the pledge process – Andar as an external subsidiary ledger and the relationship to Quick Books. 
  • Work on special projects and assignments as needed. 
  • Support planning and implementation of UWEM events as needed.

SPECIFIC SKILLS: The successful candidate will be proficient with Quick Books as well as Microsoft Office. Candidate must have a strong oral and written communication skills and excellent attention to detail. JOB TITLE:  Business Administration Intern 

REPORTS TODirector IT & Operations 

GENERAL SUMMARY:   

The Business Administration Intern supports general office functions and will provide administrative and office support for a team of 10 staff.  This individual will present a professional and positive first impression of United Way of Eastern Maine to those calling or visiting our offices.  Responsibilities include administrative tasks and/or special projects, to include outreach, that support all of UWEM’s functions, our various programs, executive staff, and department managers.   

TIME FRAME: January – May. 10-20 hours per week. Preferred afternoons, but flexible.  

ESSENTIAL JOB FUNCTIONS: 

  • Provide lead and/or back up receptionist support to include greeting visitors in person or by telephone and to connect those with the appropriate staff person or services that will best serve their needs in a friendly, professional manner.  
  • Provide office support functions including scanning, filing, copying, data entry, and office equipment maintenance.  
  • Assisting in executing mailings, to include review of lists for duplicates, mail merging, printing, and preparing for mailing.  
  • Assisting Resource Development with data entry related to pledge packet processing and creating or updating accounts while maintaining strict standards for donor data integrity.  
  • Provide support for Resource Development efforts; prospect research, event coordination, etc.  
  • Assisting Community Impact with the VolunteerME online platform and volunteerism efforts, food and supply drives, and other projects as assigned.  
  • Maintaining UWEM’s web calendar of events and support Marketing in social media.  
  • Supporting general office needs such as organization and monitoring of office supplies, light cleaning duty as needed. 

SKILLS/EXPERIENCE/TRAINING REQUIRED 

  • Knowledge of Microsoft Office Suite (Word/Excel/Outlook) 
  • Proper telephone etiquette 
  • Excellent written and verbal communication skills

TITLE:  Grant Assistant/Community Impact Intern

REPORTS TO: Chief Impact Officer

GENERAL SUMMARY: Responsible for supporting activities associated with Community Impact projects and initiatives, as well as assisting in the organization and implementation of the Strategic Investment grant program.  

TIME FRAME: January – May, 10 to 20 hours per week. Schedule is flexible.

ESSENTIAL JOB FUNCTIONS

  • Assist with the Strategic Investment grant process, including support of UWEM efforts on community/volunteer training, replying to inquiries, providing general technical support, and help with overall implementation and organization of materials.
  • Support Neighbors United drive efforts, including working with business and nonprofit organizations on collection drives for items (i.e. basin need items, food, clothing, diapers, etc.)
  • Support volunteer center efforts through maintaining volunteerme.unitedwayem.org website.  This includes but is not limited to growth of the database through outreach to nonprofits and community organizations.
  • Assist with management of volunteer inquiries, group volunteer projects and volunteerism events.
  • Assist in planning and preparation for Week of Action, a collaborative event across the United Ways of Maine.
  • Support UWEM outcome measurement for initiatives and collaborations; including research and data collection.
  • Researching best practices for existing and potential Community Impact projects and/or initiatives.
  • Work on special projects and assignments as needed.
  • Support planning and implementation of UWEM events as needed.

SKILLS/EXPERIENCE/TRAINING REQUIRED

  • Student pursuing an associates, bachelors, or advanced degree, in the field of social work, health and human services, non-profit administration, business or other relevant fields.
  • Reliable, ability to work independently while engaging as a member of a team, and a positive attitude.
  • Strong communication (verbal and written) and interpersonal skills.
  • Intermediate to Advanced abilities with technology and computer usage.
  • Ability to plan and manage multiple tasks
  • Ability to analyze problems, develop and implement creative solutions.
  • Practical understanding of research and statistics and the ability to articulate results.

TITLE: Marketing Intern

REPORTS TO: Marketing and Events  Manager 

GENERAL SUMMARY:  The position of the Marketing Intern is to provide support to United Way of Eastern Maine’s Marketing and Events Manager with everything from materials design to website updating, social media, and events coordination.

TIME FRAME: January – May. 10-20 hours per week. Schedule is flexible.

KEY RESPONSIBILTIES:  

  • Update and create collateral materials including posters, flyers, ads, rack cards, etc. 
    Adhering to United Way’s brand guidelines. Work with all departments on specific needs.  
  • Maintain and update social media platforms including Facebook, Twitter and Instagram. 
  • Work  with  UWEM Staff to create a weekly list of updates . Monitor best times to post and respond as needed to requests.  
  • Maintain and update website..  
  • Assist in creation of e-newsletters. 
  • Work on special projects and assignments as needed. 
  • Support planning and implementation of UWEM events as needed.

Illustrator, Photoshop,  Microsoft Office as well as a working knowledge of social media platforms. Video experience welcomed but not required. Candidate must have a strong 

oral and written communication skills. Be energetic and self-motivated, outgoing and 

have an ability to work successfully in a team environment.
